Technology User Guide

This guide provides step-by-step instructions for connecting a laptop to the projectors, speakers, cameras as well as connecting a device via Bluetooth to the speakers, using the microphones and adjusting the curtains in The Gala Conference Room.

Connecting to the Speakers via Bluetooth

  1. Locate the Control Panel at the north end of the Gala, find the black control panel mounted on the wall of the conference room next to the cabinets.
  2. Turn on the Control Panel, tap the black control panel to wake it up.
    • Click BEGIN to access the settings.
  3. Enable Bluetooth by selecting the Bluetooth icon on the control panel.
  4. Activate Pairing Mode by opening the middle cabinet and locate the white rectangle labeled BLUETOOTH.
    • Press and hold the Bluetooth button until the system enters pairing mode.
  5. Pair Your Device:
    • Open your device's Bluetooth settings.
    • Find and select Room 203 to pair.
  6. Adjust Volume:
    • Use both your device's volume controls and the black control panel to set the desired room volume. 

Tip: Ensure your Bluetooth settings in your device are activated if you are having trouble connecting.

Using the Microphones

Microphones are stored in cabinets at both the north and south ends of the Gala. There are two types:

Handheld Microphones:

  • Turning On:
    • Unscrew the bottom half of the microphone.
    • Locate the power switch inside and flip it to the ON position.

Lapel Microphones:

  • Turning On:
    • Unclip the bottom half of the microphone.
    • Inside, locate the power switch and flip it to the ON position.
    • Note: Do not confuse the mute/unmute switch (located on the top) with the power switch inside.

Adjusting Microphone Volume:

  • Use the black control panel at the north end of the Gala. Select Microphone Volume and adjust as needed.

After Use, Return all microphones to their charging ports inside the cabinets.

Tip: Ensure your microphone is not muted if you are having issues with no sound.

Audio setup when the room is split

If the Gala is divided into two separate rooms, the audio setup differs:

  • Combined Room, use the north-end control panel to connect to Bluetooth speakers.
  • Divided Room, use the control panel in the specific room where you want to play audio.
  • Example, to play music in the South Gala room, use the South Gala control panel—audio will not play in the North Gala room and vice versa.

Using Projectors

To operate the projectors in the Gala room:

  1. Turn On the Projectors:
    • Locate the black screen on the northwest wall.
    • Tap the screen and select the activation button.
    • The screens will lower, and projectors will turn on automatically.
  2. Default Display:
    • By default, the screens will show the signage displayed throughout the REC.
  3. Connecting a laptop:
    • On the control panel, go to the video display section.
    • Select Lectern instead of Signage.
    • Find the podium at the front of the room.
    • Use the HDMI cable from the podium to connect your laptop to the projector.

Tip: Ensure a strong connection between your device/laptop and the HDMI cord if you are having issues with the display

Connecting Laptop Audio to the Speakers

To ensure audio plays through the room speakers:

  1. To connect your laptop, use the HDMI cable from the podium to connect your laptop.
  2. To activate the Audio System, locate the black control panel on the back wall.
    • Tap the screen to wake it up and click BEGIN.
  3. When Selecting an Audio Source, choose Lectern Audio as the audio source.
    • Ensure your device’s volume is turned up.
  4. To Adjust Volume, use the room audio slider on the control panel to set the desired volume.

Tip: Make sure your laptop/device is not muted when attempting to play audio.

Adjusting the Curtains

The Gala room features two types of curtains: a transparent set and an opaque set. You can adjust them as follows:

  1. Find the Control Panel, a white control panel is located on the wall near the entrance of the Gala room.
  2. Adjust the Curtains, use the large rectangular buttons to raise or lower the curtains to the desired height.
  3. Reset After Use, when finished, return the curtains to their original position.

Final Notes & Troubleshooting

  • If the projectors do not display your laptop screen, try disconnecting and reconnecting the HDMI cable or adjusting your device’s display settings. 
  • If microphones do not work, confirm that the microphone is not muted.
  • Ensure you disconnect any Bluetooth devices or other equipment once finished using the room.
