Academic Alerts In Stellic

An academic alert is an early support tool designed to help students stay on track academically. It allows instructors, advisors, and support staff to identify when a student may be facing challenges and respond early with encouragement, guidance, and resources. The goal of an academic alert is to connect students with the support they need to strengthen their academic progress and succeed. Learn more about academic advising resources.

To submit an academic alert for student(s), use the quick filters in Home or the Students tab, then click on the specific course and section to identify the student(s) enrolled.

  • Next, select the student(s) you would like to submit an academic alert for.

  • Select the “Actions” button, then “Leave Note Using Template for 2 Students”

  •  Select the academic alert reason, there are 3 options for specific use.

  • Select “Use This Template” to add any additional information to the note.

  • You must link the specific course (e.g., ITEC 353) and select “Save.”  If this step is skipped, the student or advisor won't know which class the alert refers to. Do not change any additional details of the template, especially the “tag”.

  • You are done. AACD will communicate with the students. Advisors can find instructions on which of their advisees have academic alerts Learn more about this process.

Method Two

  • Create an Academic Alert from the Advisor Home. From the Home dashboard, click on the “Quick Actions” button, and select “Concern”.

  • From the blank note, click the “Use a Template!” link at the top of the note form.

  • Choose the specific template needed. The rest of the steps are the same as above.

How to Identify Academic Alerts for Advisees

Access this Shared Report: Students assigned a Note Tag of “Danger of Failing OR Attendance OR Missing Assignments”

  • This report will bring up students that have had this note tag applied at any given time. To refine a student search, combine other search filter criteria with the demographics and program filters.

  • Save Report as a New Report

  • Input a report title, Example “My Advisees Academic Alerts”

    • Select Automated as the Report type and “Track Changes” to be notified of when an advisee receives an academic alert and save the report.

  • To access the newly created report, click the Saved Reports button within the Students tab. To “Pin” the report to your advisor Home, click the three horizontal dots and select Pin Report. Additionally, to share your report choose that option from the list. This will create a URL that can be accessed by Stellic users with administrative privileges.

  • Pin Report to Home or Share

  • Download the report and export the file as a spreadsheet. If no students appear on the report, none of your students have an academic alert.
