Instructors Submit Academic Alerts on Stellic.
There are two ways to submit an academic alert. The first way starts by clicking your course roster, and the second way starts by searching for the specific student.

After an instructor submits an alert in Stellic, AACD contacts the student to share the concern and offer support. Additionally, all the student’s advisors are notified via Stellic (if the advisor’s notifications are turned on). This outreach is meant to start a conversation, identify challenges, and connect the student with helpful resources.
If additional support is needed, AACD follows up with the student and course instructor to encourage progress. After 7-10 days, the alert is reviewed based on whether contact has been made, and the next steps have been established, with the goal of ensuring students feel supported and guided moving forward.
Academic Alert Follow-Up Process
- Alert is Received
- The instructor submits a note or concern in Stellic.
- All of the student’s advisors are notified (if the advisor has Stellic notifications on).
- AACD sends the alert to the student.
- Student Outreach
- AACD contacts the student to discuss the alert and available supports.
- Faculty Outreach
- If the alert remains unresolved, AACD contacts the instructor who submitted the alert to inquire about support.
- Student Follow-Up
- If the alert is still not resolved, AACD attempts to contact the student again via text through a university platform or by phone.
- Alert Outcomes
- AACD marks alert as resolved or unresolved after 7-10 days.
- An alert is marked resolved when a student has received support.
- An alert is marked unresolved when AACD cannot confirm if a student received support.
- The outcome is noted in Stellic.
- Nonresponsive Students
- Relevant resources are emailed to the student.
- The alert is marked unresolved.
- A note documenting the outcome is added to Stellic.

Academic alerts focus on academic performance concerns such as attendance, coursework, or grades. They are used to connect students with academic support and encourage early intervention to promote success.
The CARE Team supports students experiencing concerns related to mental health, safety, or overall well-being. This team provides coordinated outreach and resources to ensure students receive appropriate care and support.
How to Determine the Appropriate Report
Academic Alert
Submit an Academic Alert if your concern is primarily related to a student’s academic performance, such as:
- Failing early-term grade(s)
- Frequent tardiness or absences
- Regularly late or missing work
- Unresponsive to the course instructor
- Unresponsive to their academic advisor
- Currently failing the course
- On probation with academic difficulties
- Could benefit from tutoring and/or success coaching
- Advisor and/or instructor concern about academic performance
CARE Referral
Submit a CARE Referral if your concern is primarily related to a student’s health or well-being, such as:
- Concerning statements or actions
- Severely disruptive behavior
- Incoherent or unclear communication
- Signs of losing touch with reality
- Extreme anxiety or panic
- Frequent accommodation requests
- Declining work quality
- Apathy or low effort
- Changes in appearance or hygiene
- Advisor, instructor, and/or peer concern about well-being

- Is my concern mainly related to health or well-being? → Submit a CARE Referral

Academic Progress Coach
The Academic Progress Coach partners with students to support their academic success. This role includes managing academic alerts, communicating with students, advisors, and instructors, and helping students navigate challenges that may impact their academic performance. The coach works to strengthen communication, connect students to campus resources, and provide personalized guidance to promote academic progress.
