In this July 2023 issue:
The Finance Office will be sending all departments a request to prepare an Aged Accounts Receivable Listing as of June 30, 2023. Please return your department's list to the Finance Office by July 7, 2023. If your department does not have any outstanding accounts receivable, simply write NONE on the request and return it to the Finance Office. Contact Scott Olson at olsons2@unk.edu with any questions.
In accordance with State of Nebraska Statue 84-710, all cash, checks and credit card receipts must be deposited with the State Treasury within 3 business days of receipt if >$500 and within 7 days of receipt if <$500. Note that the time begins when anyone at UNK receives the funds, not just when the department Office Associate or the Finance Office receives the funds. The Finance Office requests that all departments routinely deposit receipts twice weekly at a minimum to comply with the state statute; however daily depositing is recommended. Receipts should be kept in a secure location at all times until the deposit is made with the Finance Office. For further guidance on controls & procedures regarding receipt handling, contact Scott Olson at olsons2@unk.edu or see the cash/money handling policy.
All employees are accountable to UNK for the duties and responsibilities associated with the employee’s base salary. There are occasions, however, when an employee is asked to perform, on a temporary basis, responsibilities and activities outside the scope or reasonable potential scope of the employee’s position. In such instances, the employee may be eligible to receive additional compensation.

Please use the PCard/Group Card Request Form in eSHOP to request a new card for new employees, or to make changes to existing cards such as needing to change to a new reconciler. Also, if a cardholder wants/needs to use their card for something that is otherwise prohibited, they should use the PCard Exceptions tile to make that request. Please include adequate information to evaluate the need for the Payments PCard team to evaluate the request. A reminder that only eSHOP users with the “requestor” role can submit this form into workflow. Questions can be emailed to pcard@nebraska.edu or by calling Paula Fuestman at 308-865-8866 or Marlene Pyatt at 402-472-8778
As of April 2022, a new process to request a new supplier/vendor be added into our master files was launched (and the eSHOP tile was decommissioned). Many users are finding this new process very easy to use, however we have found that we have had to reject several requests because the attached W-9 or substitute W-9 has had the SSN redacted from the form, making it impossible for us to confirm the data and complete the request. Because this process happens in Firefly, it is protected behind the firewall system (must have a valid login to access it), so you MUST include the SSN on the attached form to allow us to validate the information and match it against the IRS TIN Matching system. Once our team has created the vendor, the new vendor 6-digit number will be delivered to the requestor via an email from SAP.
U.V. Safety Awareness Month is held during summer when most of us spend more time outside making the most of the warmer weather. The longer your exposure, however, the greater your risk of sun damage if you’re unprotected. While sunshine is essential for your body to process vitamin D, ultraviolet (UV) radiation can quickly damage your skin, no matter your skin tone. The sun is at its peak between 10 am to four pm. Head indoors or under shade during these hours. If you stay outside longer for work or play, sunscreen with a high S.P.F. of at least 30, a broad-brimmed hat, sunglasses, and breathable clothing that covers you up can offer the most protection. U.V. rays can pass through clouds. They also reflect off surfaces like sand, snow, cement, and water. That’s why sun protection is important in any season, all year round. To protect your skin and reduce your risk of skin cancer, below are five common sunscreen mistakes — and how to avoid them:
Sunscreen is the most important skin care product you can use, as it helps prevent sunburn, skin cancer and premature skin aging, including wrinkles and age spots. However, to ensure the best protection for you and your family, it’s important to follow the manufacturer’s directions before using sunscreen.
Employees and Departments/Groups of Employees can be nominated for different awards. The awards are presented monthly during the Staff Senate meetings.
Please consider nominating a staff member or group who has demonstrated excellence. It’s time to show our colleagues how much we appreciate what they do and why we’re so very proud to be Lopers!!
