Room Reservation Guidelines
 

UNIVERSITY OF NEBRASKA AT KEARNEY POLICY STATEMENT FOR USE OFTHE NEBRASKAN STUDENT UNION 

WELCOME 

The University of Nebraska at Kearney is pleased to make facilities available to responsible groups and organizations, whenever in the judgment of the University such use will not interfere with the academic mission of the University or present undue risk to personnel or property. When such arrangements are made, the sponsoring organization shall make known its sole sponsorship of the program, and by reserving the facility, shall enter into an agreement to hold the University of Nebraska at Kearney, the University of Ne­braska Board of Regents, and any agents, representatives, or employees of any of these bodies, free of any liabilities incurred in connection with use of the facility. By reserving la facility, the group shall also bind itself to indemnify the University for any property damages other than normal wear.

 

FACILITY USE

 

Groups are encouraged to complete a Reservation Request at least three months in advance. The University reserves the right to specify room arrangements, substitute facilities and cancel arrangements. Because the number of requests for the Ponderosa Room exceeds available space; groups are asked to limit their use of the room to two consecutive days including set up. Preference may be given to recognized student groups, academic programs and other University sponsored events. Sales transactions are limited to tables in the Atrium; advertising, sales, and product distribution may be restricted or prohibited.

 

CATERING

 

Food in the Nebraskan is catered through the University Dining Service. Dining Services offers an outstanding array of dining options; no other vendors are allowed.

 

FACILITY FEES

 

A facility fee is assessed to groups whose primary mission is anything other than serving the constituency of the University of Nebraska. The fee may be waived or reduced if the program is deemed an enhancement to the academic mission of the University.

 

RECOGNIZED STUDENT ORGANIZATIONS

A presiding officer and an advisor are expected to attend events sponsored by student organizations. The sponsoring organization is responsible for damage or theft whether or not the damage was caused by a member of the organization. Alcohol and/or drug use are prohibited. Evidence of use will prohibit the organization from scheduling future events. Student academic performance is prioritized in decisions; events will conclude by 1:00 p.m. Sunday through Thursday, and 12:00 a.m. on Friday and Saturday.

 

EQUIPMENT USE AND DECORATIONS

University equipment (with the exception of chairs) will be moved and positioned by university employees. Painters tape may be used to secure decorations; other tape or push pins are not allowed. Candles and burning objects, glitter, red punch, and liquids containing dyes are, not permitted. Sitting or standing on furniture is prohibited; guests must be seated in chairs. Mobile walls cannot be arranged when guests are present; tables or other objects cannot restrict exits. The Nebraskan does not have space to store items related to meetings or events and cannot be responsible for their security.

 

YOUTH GROUPS

 

Youth groups (age seventeen and under) must be accompanied by a minimum of one adult sponsor for every 20 students. Sponsors must accompany youth at all times including meals and breaks. If an event extends through a meal period, the sponsoring group must provide participants with a multi-course meal catered by Chartwells.
