SSN FAQ

Key points to remember about SSN Elimination:
  • If you don't need it, delete it.
  • If you need it but can use the NUID as the identifier, contact Andrea Childress to get the file converted to NUID and remove SSN from the file.
  • If you need to keep SSN's to perform your job, you need to submit the SSN Elimination Exemption Form THIS IS MANDATORY ANNUAL REQUIREMENT.

Is it safe to store sensitive data to my UNK shares drive?

It would be considered safer to some extent. The UNK shares server is physically more secure than your local machine. However if your EASI password is compromised, it will be considered a breach requiring notification of anyone whose SSN is saved on your UNK shares drive. Your goal should be to eliminate storage of any sensitive data anywhere in your control.

What if I have SSN's in old email messages?

Any email message containing one or more SSNs should be deleted. Your goal should be to eliminate storage of any sensitive data anywhere in your control.

Will PGP or any other encryption software protect my computer?

Whole disk encryption is intended to protect access to files on your computer in the event the computer is stolen. It will not protect access to files in the event that a password is compromised.

Will my SSN and the SSNs of my students still be listed on any forms?

The NUID will be listed instead of the SSN.

What if I need to store SSN's to do my job?

You are not authorized to store Social Security Numbers in any way (hard drive, shared drive, email, spreadsheet, Word document, web page) unless you have been granted an exemption.

Can I post grades using the NUID?

You cannot use the full NUID or any portion of the NUID to post grades. As an alternative, you can use Blackboard for posting grades.
